Document Legalisation & Apostille Services

Foreign documents used in Kenya — and Kenyan documents used abroad — must meet specific authentication requirements. Greentod manages the full legalisation process so your documents are accepted without delay.

Why Document Legalisation Matters

Presenting a foreign document in Kenya — or a Kenyan document in another country — without the correct authentication is one of the most common causes of application delays for expatriates. Whether it’s a marriage certificate needed for a Dependant’s Pass, a degree certificate for employment, or a police clearance for a permit, each document must follow a specific legalisation pathway to be accepted by Kenyan authorities, foreign embassies, or private institutions.
Greentod manages the full process — notarisation, apostille, embassy legalisation, and certified translation — so your documents are compliant, correctly authenticated, and delivered on time.

Apostille vs. Embassy Legalisation

Apostille

A standardised certificate issued under the Hague Convention that authenticates a document for use in another Hague member country. Kenya is a Hague Convention member. Apostilles are issued by a designated authority in the document's country of origin.

For Hague member countries

Embassy legalisation

For countries not party to the Hague Convention, documents must be authenticated by the issuing country's embassy or high commission. This is often required in addition to notarisation by a local commissioner.

what we handle

Notarisation

Attestation of documents by a Kenyan Commissioner for Oaths or Notary Public — required as a first step before apostille or embassy legalisation in many cases.

Apostille coordination

We coordinate apostille certification of Kenyan documents through the relevant Kenyan authority (Ministry of Foreign Affairs), and advise on obtaining apostilles on foreign documents from their country of origin.

Embassy authentication

Liaising with embassies and high commissions in Nairobi or abroad for document authentication where apostille is insufficient or unavailable.

Certified translation

Documents in languages other than English require certified translation for use in Kenya. We coordinate certified translations from French, Arabic, Chinese, German, and other major languages.

Police clearance certificates

Obtaining Kenyan police clearance certificates for permit applications and employment, and advising on how to obtain foreign police clearance for immigration purposes.

Academic credential verification

Coordination of degree and diploma verification through the Kenya National Qualifications Authority (KNQA) for foreign nationals in professional employment.
